# Custom Fields

Custom fields let you record information specific to your shop that CloudBridal's standard fields don't cover.

## Where to Add Custom Fields

Each record type has its own list of fields, usually in a **Your own fields** card:

- **Customers and prospects**: [Settings › Customers](https://go.cloudbridal.com/settings/customers)
- **Orders**: [Settings › Orders](https://go.cloudbridal.com/settings/orders)
- **Measurements** (beyond the standard bust/waist/hip): [Settings › Measurements](https://go.cloudbridal.com/settings/measurements)
- **Appointments**: questions for first-time and follow-up bookings, in [Settings › Appointments](https://go.cloudbridal.com/settings/appointments) › **Booking questions**. Turn on **Ask your own questions on first-time bookings** or **on follow-up bookings** to add them.
- **Items**: [Settings › Items](https://go.cloudbridal.com/settings/inventory)
- **Vendors** and **Purchase orders**: [Settings › Vendors](https://go.cloudbridal.com/settings/vendors) (**Vendor fields** and **Purchase order fields** when purchase orders are on)
- **Tasks**: [Settings › Task management](https://go.cloudbridal.com/settings/tasks)

## Creating a Custom Field

1. Open the settings page for the record type.
2. Click **Add field** (**Add question** for appointment booking questions).
3. Fill in the field options below and click **Save**.

Drag fields in the list to change their order on the form.

## Field Options

- **Name**: the label shown on the form.
- **Answer type**: what kind of answer to collect, such as text, a number, a date or a file. Pick the type that fits the data — each shows a different input.
- **Hint**: optional text shown below the question.
- **Offer a list of answers**: staff pick from **Choices** you add instead of typing. Turn on **Let them pick more than one answer** to allow several.
- **Require an answer**: the form can't be saved without it.
- **Printing**, **Lists** and **Reports**: print the answer on documents, show it in the record list, or add it as a report column. Which of these appear depends on the record type.
- **Fill in today's date**: (date fields) starts the field on today's date.
- **Width on the form**: how much of the row the field takes.
- **Where it shows**: limit the field to certain item types or customer types. With none ticked, it shows for all.

Appointment booking questions instead set **Who answers it** (customers booking online, staff booking an appointment), whether each must answer, and **Where it's asked** (which appointment types).

### Measurement Fields and Vendors

Measurement fields can also be limited by vendor:

- **Shown for these vendors**: the field shows only for those vendors' items. This applies to orders and to the customer's measurements.
- **Required for these vendors**: the field must be filled in for those vendors' items.

## Changing the Answer Type

Once a field is saved, you can only switch its answer type where existing answers still read the same — for example, single-line text to multi-line text, or number to currency and back. Other changes aren't offered.

## Deactivating and Deleting Fields

- **Deactivate** a field you no longer need: staff stop being asked, and answers already given stay. Inactive fields are hidden from the list until you tick **Show _n_ inactive**, and can be reactivated.
- **Delete** removes the field and its answers no longer show. Deactivate instead if you want to keep them.

## Using Custom Fields in Automation

Customer, order and appointment custom fields can be used as conditions on automated emails, texts and tasks — for example, only messaging customers whose "Dress style" field is a particular value.
