# Vendors

Vendors are the designers and suppliers you buy from. Each vendor record holds their contact details, colors, size charts, add-ons and lead times.

## Setting Up Your Vendors

We recommend adding your vendors before creating inventory items or customer orders:

1. Go to the [Vendors](https://go.cloudbridal.com/vendors) page from the sidebar
2. Click **New vendor**
3. Fill in the vendor's details (below) and save

## Vendor Details

The **General** tab holds:

- **Name**: The name your team uses for the vendor
- **Name customers see**: Shown on receipts, labels and your showcase. Usually the same as the name
- **Contact**, **Email**, **Phone**, **Address** and **Website**
- **Account number**: Your account with this vendor. It's shown on purchase orders and vendor emails
- **Designer website** (${color}[#4338ca](**Ultimate Plan**)): The designer's own website, like allurebridals.com. **Search online** on inventory items finds photos there. Only needed if Search online asks for it or finds the wrong site
- **Additional fields**: Any vendor fields you add in [Vendors settings](https://go.cloudbridal.com/settings/vendors)
- **Notes**: Only your team sees these
- **Showcase description**: Shown on this vendor's page in your inventory showcase

## Deactivating or Deleting a Vendor

- **Deactivate**: The vendor is no longer offered for new items and orders. Items and orders that already have it keep it. Inactive vendors are hidden from the list until you tick **Show inactive**, and **Reactivate** brings one back.
- **Delete vendor**: Only for vendors with no purchase orders. A vendor with purchase orders can't be deleted, so deactivate it instead.

## Colors

The **Colors** tab sets up the colors this vendor offers, so they're quick to pick on inventory items:

- **Color groups**: Colors that go together in the vendor's catalog, such as the standard set for their bridesmaid dresses
- **Colors on their own**: Individual colors you can apply to any of the vendor's items

## Size Charts

The **Size charts** tab holds the vendor's size charts: each size with its measurements (such as bust, waist and hip), in the order you drag them into.

The size chart appears when creating customer orders from this vendor, so staff can pick the right size from the customer's measurements. Clicking a size in the chart fills the order's size field.

## Add-ons

The **Add-ons** tab is a list of extras that can be added to orders from this vendor, such as rush fees or customizations.

1. Click **Add group** to create a group, such as "Fees" or "Customizations"
2. For each group, set:
   - **For**: The item types that can use the group. Leave it on **All item types** to offer it everywhere
   - **Charge tax**: Untick it if the group isn't taxed, e.g. rush shipping fees
   - **Discounts apply**: Tick it if percentage discounts should apply to the group's add-ons
3. Click **Add add-on** for each one, with its name, **Wholesale** cost and **Retail** price

### Applying Add-ons to Inventory Items

You can choose which add-ons each item offers. See [Inventory Management](https://help.cloudbridal.com/en/article/inventory-management-1ray8x9/#3-available-addons-for-special-order). This is optional: you can still add any of the vendor's add-ons at the time of sale.

### Applying Add-ons to Special Orders

On a special order from this vendor, pick add-ons in the **Add-ons** field, or type a name to add a custom one. See [Making a Sale](https://help.cloudbridal.com/en/article/making-a-sale-ebcs3x/).

## Lead Times

The **Lead times** tab sets how long this vendor takes to deliver. When an order or purchase order moves to **Ordered**, CloudBridal fills in the expected arrival date from it.

Click **Add lead time** and enter:

- **Days**: How long the vendor takes (required)
- **Item types**: Optionally limit it to certain item types
- **Add-ons**: Optionally limit it to orders with certain add-ons, such as a rush order

| Tip: Leave item types and add-ons on "All" for a default lead time that covers every order from this vendor.

### How Lead Times Are Chosen

CloudBridal uses the most specific matching lead time:

1. Item type **and** add-on
2. Item type only
3. Add-on only
4. No restrictions

For example, with 30 days (no restrictions), 45 days (Wedding Dress) and 60 days (Wedding Dress + Rush Order), a wedding dress with a rush order gets 60 days.

The lead time is added to the ordered date. An expected date filled in this way shows a lightning bolt icon naming the lead time used. A purchase order with several items uses the longest lead time. You can always change the expected date by hand.
