Reports Tool

Plan Requirement: Core or Ultimate

The Reports module provides comprehensive analytics and detailed insights into every aspect of your bridal shop operations. Reports help you track performance, identify trends, and make data-driven decisions to grow your business.

Using the Reports Module

The reports interface is designed for efficiency and ease of use. The left sidebar organizes all available reports by category, while the main area provides filtering options and displays your results.

Navigation and Organization

  • Report Categories organize reports logically: Customer, Inventory, Order, Staff Member, Appointment, and Vendor reports. Each category groups related analytics together, making it easy to find the insights you need.
  • Search Functionality lets you quickly locate specific reports by typing part of the report name. This is particularly useful when you know exactly what data you're looking for.
  • Favorites System allows you to star frequently used reports for instant access. Favorite reports appear in their own category at the top of the sidebar, streamlining your regular reporting workflow.
  • Quick Date Selection provides common date ranges with a single click. Choose from Today, This Week, This Month, This Year, or their "Last" equivalents to quickly set your reporting period without manual date entry.

Report Generation and Export

Most reports require a date range and may offer additional filters specific to the data being analyzed. After setting your parameters, you can view results directly in CloudBridal or export to Excel for detailed analysis and data manipulation.

  • Export Options give you flexibility in how you work with your data. View reports in CloudBridal for quick analysis and decision-making, or export to Excel when you need to perform calculations, create custom charts, or share data with others.
  • Print Functionality formats reports appropriately for printing directly from CloudBridal, useful for meetings or physical record-keeping.

Customer Reports

Customer reports help you understand your client base, track acquisition patterns, and identify opportunities for growth.

  • Customers/Prospects Registered provides a comprehensive list of customers and prospects entered during your selected timeframe. Filter by created date, last updated date, event date, or staff association date to focus on specific aspects of customer management. You can also segment by customer types and distinguish between customers and prospects. This report includes basic customer information plus details about their orders and payments.
  • Emails lists all emails sent to customers and prospects within your selected timeframe, providing an audit trail of customer communications.
  • Fittings Planning assists with scheduling by identifying customers with upcoming event dates who may need fittings or follow-up appointments. Filter by customer types, order statuses, and inventory item types (particularly useful for items requiring measurements) to create targeted outreach lists.
  • Referral Type Performance reveals which marketing channels are most effective by showing metrics for each referral source. This analysis helps you understand where your best customers come from and can be filtered by inventory item types to see which products perform best with each referral source.
  • Prom Registry displays all prom registry entries when the Prom Registry feature is enabled. Filter by season and venue to organize prom-related business and track color registrations.
  • SMS Messages documents both sent and received text messages between your store and customers, helping you track conversation history and response rates.

Inventory Reports

Inventory reports provide insights into stock performance, value analysis, and purchasing patterns to optimize your buying decisions.

  • Inventory Added lists items added to your system within a specific timeframe, helping you track new arrivals and catalog updates.
  • Inventory Performance ranks your best-selling items by sale frequency, with top performers displayed first. Items with no sales are excluded, giving you a clear picture of what's moving in your store.
  • Inventory Trends by Attribute analyzes sales patterns based on item characteristics like color, size, or other attributes. This helps identify popular trends and customer preferences, which is valuable for future purchasing decisions.
  • Inventory Items On Hand provides a snapshot of current stock levels. Filter by vendor, item types, customer types, and item status (Active, Discontinued, Disposed) to get precise inventory views. You can also specify an "as of" date to see historical stock levels.
  • Inventory Value calculates total wholesale, retail, and sale values of your stock as of a specific date, broken down by item type. This financial overview helps with insurance valuations and business planning. The system filters out disposed items and zero-quantity variants to provide accurate valuations.
  • Inventory True-Up generates comprehensive inventory lists for physical counting and reconciliation. Export this report to Excel to track your counting progress, then update CloudBridal with any discrepancies found during your physical inventory.
  • Inventory Item Margins analyzes profitability by showing wholesale prices, effective retail prices, margins, and markup percentages for all active inventory. This helps identify your most profitable items and optimize pricing strategies.
  • Favorite Items shows which items customers favorite most often through your inventory showcase and tracks their actual sales performance, helping you understand the relationship between customer interest and purchasing behavior.

Order Reports

Order reports provide detailed analysis of sales performance, financial metrics, and business trends.

  • Orders Created lists customer orders within your selected timeframe. Multi-item orders appear as separate line items for detailed analysis. Filter by various date types (sale date, ordered date, arrival date, etc.), staff member, order statuses, inventory item types, and customer types to create focused reports.
  • Order Financials provides the same order listing with additional financial data points including gross amounts, net amounts, taxable and non-taxable amounts, tax amounts, total amounts, remaining balances, and payment details both overall and within your selected date range.
  • Payments Created tracks customer payments with filtering by payment date or creation date and payment status. Details include total amounts, subtotal amounts, and tax amounts to give you complete payment visibility.
  • Refunds documents all refunds issued to customers, providing a clear audit trail of returned payments.
  • Purchase Orders Created lists purchase orders entered into your system with filtering by creation date, update date, ordered date, and arrival dates. Filter by purchase order type (Customer or Stock) and status while excluding draft and cancelled orders by default.
  • Purchase Order Margins analyzes profitability of customer purchase orders by showing costs paid to vendors, product revenue, margins, and markup percentages. This helps evaluate vendor relationships and pricing strategies.
  • Rentals Created tracks rental orders when the Rentals feature is enabled, with filtering by various rental-related dates including due dates, return dates, and reservation periods.

  • Appointments lists all appointments within your timeframe with filtering by appointment type, status, and assigned staff member. This helps track scheduling patterns and staff workload distribution.
  • Appointment Resource Usage shows how frequently each fitting room or resource is used, grouped by appointment status. This data helps optimize space utilization and identify scheduling constraints.
  • Appointment Type Usage tracks appointment volume by type and status, helping you understand which services are most in demand and plan accordingly.
