The Pre-Registration Questionnaire allows you to design a customized registration experience for customers before they arrive for their appointment. This pre-appointment data collection streamlines your in-store process and captures valuable customer information.
When to Use Pre-Registration Questionnaires
Pre-registration questionnaires are most effective when you want to gather detailed information from customers after they've committed to an appointment but before they arrive at your store. This timing is ideal because customers have already made the decision to visit, so they're more willing to invest time in providing comprehensive information.
Pre-Registration vs. Appointment Questions
While pre-registration questionnaires and appointment questions both collect customer information, they serve different strategic purposes in your customer journey and should be used at different stages of the booking process.
Use Pre-Registration Questionnaires for:
- Detailed style preferences and shopping history
- Extensive background information about their event
- Optional information that enhances the experience but isn't required for booking
- Questions that might be overwhelming during the initial booking process
- Information that helps your staff prepare personalized recommendations
Use Appointment Questions for:
- Essential information required to confirm the appointment
- Critical information that affects appointment availability or pricing
- Simple, quick questions that won't deter bookings
Registration Methods
There are two ways customers can pre-register in your system:
Appointment-Based Registration
Configure when customers receive registration invitations:
- Automatic Registration on Confirmation: Enable "Allow Customers to Self-Register When Their Appointment Is Confirmed" to automatically include a registration link in appointment confirmation emails. Customers can access the registration form directly from their appointment details.
- Manual Invitation: Send registration invitations manually from appointment records. You can customize the invitation email text by enabling "Set Invitation Email Custom Text" and providing your own message.
- Client Portal: Customers can pre-register directly via the Client Portal.
Direct Link Registration
Only recommended for walk-ins or if you're not using the CloudBridal appointment scheduler. If you are using the appointment scheduler, customers should only register via the Appointment-Based Registration process.A standalone registration page that can be accessed via a unique URL. This is mainly useful for walk-in customers, or if you don't use the CloudBridal appointment scheduler.
Registration Form Structure
The registration form is organized into pages that customers navigate through sequentially. Each page can be configured for specific purposes and customer types.
Page Types
- Text Content Only: Informational pages containing:
- A title (heading text)
- Descriptive content (body text)
- Useful for welcome messages, instructions, or policies
- System Field Mapping: Collects standard CloudBridal information:
- Customer details (name, email, phone)
- Event information
- Other built-in system fields
- Custom Field Mapping: Gathers information for your custom fields:
- Fields you've defined in Customer Settings
- Specialized information unique to your business workflow
- System Pages: Required structural pages including:
- Introduction page
- Review page for verifying entries
- Completion page
Page Configuration Options
Each page can be customized with:
Display Settings
Display Mode:
- Always Display: Shows in all registration contexts
- In-Store Registration Only: Appears only when using the direct link
- Online Registration Only: Shows only for self-registration from home
- Hide: Temporarily disables the page
Content Settings
- Heading Text: The title or question for the page
- Body Text: Additional explanatory content or instructions
- Required Answer: Make responses mandatory
- Customer Type Specific: Show pages only to certain customer types (e.g., brides, bridesmaids)
Page Organization
- Pages can be reordered by dragging and dropping
- Hidden pages can be viewed and managed using the "Display Hidden Pages" toggle
- System pages (Introduction and Finish) maintain their fixed positions
How Pre-Registration Data Integrations with Customer Profiles
Seamless Profile Integration: When customers complete pre-registration, their answers automatically populate their customer profile in CloudBridal, creating a comprehensive view for your staff:
- System field responses (name, email, phone, address, etc.) update the corresponding customer profile fields
- Custom field answers appear in the Additional Fields section of the customer profile
- Style preferences are compiled into structured internal notes that staff can quickly review
