Prom Registry

The Prom Registry feature helps prevent duplicate dress styles at the same event by tracking which dresses have been purchased for specific schools, venues, or events. This ensures each customer has a unique look for their special occasion.

Configuring the Prom Registry

To set up the registry, navigate to the Prom Registry Settings page:

1. Enable the Enable Prom Registry toggle
2. Configure the following options:

Basic Registry Settings

• Current Prom Season: Define the current default season (e.g., "Spring 2025"). This will be selected as the default season for new orders, and you can change this any time.
• Schools/Venues: Add and manage the venues you service. Individual venues can also be entered at the time of sale, so you don't need to enter every venue.
• Allow Same Dress in Different Color By Default: When enabled, allows the same style in different colors at the same venue for a given season.
• New Orders Should Prompt You to Register a Prom Venue By Default: Automatically prompt for registry information when creating orders for prom customers.

Opting Customer Types into Prom Registry

By default, the system includes a Prom customer type in the customer type settings, which is opted into the registry. If you'd like to opt any other customer types into the registry, you can edit the customer type and check the Uses Prom Registry checkbox.

Registering Dresses to the Registry

There are two ways to register dresses for customers with the Prom customer type:

1. Through an Order

When creating an order:

1. Complete the order details form
2. Check the Add to Prom Registry option
3. Select the venue/school and season
4. Complete the order

2. Directly in the Prom Registry

For existing orders that weren't registered at the time of sale:

1. Go to the Prom Registry page
2. Click New Registration
3. Search for an existing customer's order
4. Select the venue/school and season
5. Submit the registration

Using the Prom Registry

Viewing Registered Dresses

To view current registrations:

1. Navigate to the Prom Registry page
2. Select the desired season from the dropdown
3. Browse or search for specific venues/schools
4. View registered dresses for each venue

Conflict Prevention

The system automatically prevents duplicate registrations:

1. When attempting to create an order for a dress that's already registered to the same venue/season
2. A warning will appear showing that a different customer has already purchased a dress for the same venue/season
3. You can then suggest alternative colors or styles

Prom Registry Report

A dedicated report is available in the Reports section:

1. Select the Prom Registry report type
2. Choose the desired season
3. Optionally filter by venue
4. Run the report to see all registrations for the selected criteria

This report can be viewed in CloudBridal or exported to Excel for further analysis.

Receipt & Order Document Integration

You can display prom registry information on customer order documents:

1. Go to Receipt Settings
2. Enable the Prom Registry Venue and Prom Registry Season options when editing the document template
3. These details will appear on the customer's order document
